Understanding IMAP vs. POP3

Before setting up your email, choose the right protocol:

  • IMAP (Recommended): Emails stay on the server and sync across multiple devices.

  • POP3: Emails are downloaded and removed from the server (unless set otherwise), best for single-device use.

Email Settings

Use the following settings when setting up your email:

  • Incoming Mail Server: mail.(yourdomain).co.za

  • Outgoing Mail Server (SMTP): mail.(yourdomain).co.za

  • IMAP Port: 993 (SSL/TLS)

  • POP3 Port: 995 (SSL/TLS)

  • SMTP Port: 465 (SSL/TLS)

  • Requires Authentication: Yes


Setting Up Email in Gmail (Default Mail App for Android)

  1. Open the Gmail app on your Android device.

  2. Tap Menu (☰) > Settings > Add Account.

  3. Select Other.

  4. Enter your email address and tap Manual Setup.

  5. Choose either IMAP (recommended) or POP3.

  6. Enter the incoming mail server details:

    • Server: mail.(yourdomain).co.za

    • Username: Your full email address

    • Password: Your email password

  7. Tap Next and enter the outgoing mail server details:

    • SMTP Server: mail.(yourdomain).co.za

    • Username: Your full email address

    • Password: Your email password

    • Port: 465 (SSL/TLS)

  8. Tap Next, adjust sync settings as needed, and tap Done.


Setting Up Email in Samsung Email

  1. Open the Samsung Email app.

  2. Tap Add Account.

  3. Enter your email address and password, then tap Manual Setup.

  4. Choose either IMAP or POP3.

  5. Enter the incoming mail server details:

    • Server: mail.(yourdomain).co.za

    • Username: Your full email address

    • Password: Your email password

  6. Enter the outgoing mail server details:

    • SMTP Server: mail.(yourdomain).co.za

    • Username: Your full email address

    • Password: Your email password

    • Port: 465 (SSL/TLS)

  7. Tap Next, adjust sync settings, and tap Done.


Setting Up Email in Outlook for Android

  1. Download & Open Outlook from the Play Store.

  2. Tap Add Account and enter your email address.

  3. Tap Set Up Manually and enter your password.

  4. Choose IMAP and enter the server settings:

    • Incoming Mail Server: mail.(yourdomain).co.za

    • Outgoing Mail Server (SMTP): mail.(yourdomain).co.za

    • IMAP Port: 993 (SSL/TLS)

    • SMTP Port: 465 (SSL/TLS)

  5. Tap Next, verify settings, and complete the setup.


Troubleshooting Common Issues

Issue: "Emails Aren't Syncing"

Solution:

  • Ensure you have selected IMAP and not POP3 if you want syncing.

  • Check that SSL is enabled in settings.

  • Restart the email app and try again.

  • Remove and re-add the email account if issues persist.

Issue: "App Isn’t Adding the Email"

Solution:

  • Double-check your email and password.

  • Verify that the correct IMAP/POP3 & SMTP settings are used.

  • Ensure your services are paid and active in your client portal.

  • Restart your device and attempt the setup again.
